Escrow accounts

In order to open a charge/escrow account you must write a letter on corporate letterhead requesting to open an account. The letter should contain the following information

  • Name of Account
  • Address
  • Contact Name and Phone Number

The letter should be accompanied by a check of at least $200, payable to Essex County Register. Monthly statements will be provided reflecting all activity in the account. Send the letter and check to:

Electronic Recording of Land Records (e-Recording)

The Office of the County Register continues to make every effort to bring you the most up to date technology to promote efficient recording of land records. All you need is a computer and an internet connection. The ultimate goal is to allow total electronic recording of specific documents along with various levels of electronic recording for all documents regarding real property. What is e-Recording?

E-Recording is the filing of your land records from an off-site location equipped with a personal computer and internet connection.

What are the benefits of e-recording and why should my company e-record?

E-Recording will improve the recordation process from the point of origin (title Company, bank, attorney office, etc.) to the County Register’s Recording Office. It will improve work flow, increase productivity, speed up the recording process, improve data accuracy, and reduce rejections (specifically – incorrect fees, missing return address, missing party names, missing tax block and lot info, missing marginal notations, etc.).

How much does it cost to use this service?

There is no subscriber fee for this service. Registration with the Essex County Register is all that is required to use this web portal. You may establish an automatic withdrawal to fund your account by completing the ACH agreement.

What is meant by Level I, Level II e-Recording?

Currently, Essex County Register’s office is operational at Level I and Level II.

Level I allow the submitter to create an electronic cover sheet (Document Summary Sheet) which is then attached to the original document and submitted for recording. After the document is received by the County Register’s office, recording and indexing occurs almost immediately and the recording information is automatically available here on this web-site. The documents are then scanned and verified and returned to the sender with in days.

Level II will include a scanned image of the document, supplied by the sender, along with the Document Summary Sheet. Recording and indexing will take place as usual and the recorded image is returned to sender with all recording information electronically stamped on it. All information can be tracked on this web-site.

Is e-Recording widely available throughout New Jersey?

Currently 12 of the 21 counties in New Jersey are operating through e-recording portal. And since they all use the same interface the submitters only need to learn ONE system. The system tightly conforms to state law as it pertains to the recording of documents, and adheres to standards set forth by the New Jersey Division of Archives and Record Management (NJDARM) and Property Records Industry Association (PRIA)
